Receive, evaluate, and coordinate release of information requests from all requestors submitted by mail, fax, phone, and/or in-person. Complete release of information requests including retrieving patient’s medical charts and returning charts, copying and/or scanning medical records accurately and correctly, and preparing documentation for delivery either electronically or by mail. Review the accuracy of scanned documents. Perform quality checks on work to assure accuracy of the release, confidentiality, and proper invoicing. Must have basic understanding of release of information workflows to ensure accurate and appropriate assignment of requests. Scan, copies, and distributes appropriate records and documents in a timely manner. Notifies supervisor of any record issues that may arise. Refer appropriate requests to internal and/or external review staff as needed. Maintain a record of all requests for information using the EPIC system. Complete cash handling tasks as assigned, which may include collecting credit card information, handling checks received by mail and posting payments. Accurately and efficiently utilize a computer for data input and retrieval of data. Receives, sorts, and distributes incoming mail for department. May perform other duties as assigned to support business needs.


Demonstrates a thorough understanding of a major process flow, its components and issues. Follows security policies and processes to use and release information from the medical records systems. Identifies medical information for accuracy and completeness.;Identifies policies for processing, accessing and disclosing medical information. Delivers medical information and records customized according to end usage. Retrieves and uses the data of healthcare information systems correctly and legally. Adheres to established internal standards and procedures abstracted from HIPAA. Works with common health information concepts and terminology. Works with core application systems for a major business unit or function. Processes large quantities of detailed information with high levels of accuracy. This position must be located on-site in Fargo.


High school diploma required, Health Information Technology (HIT) degree preferred.

General clerical experience preferred with some exposure to medical terminology. Previous experience in healthcare setting preferred. Word processing experience required, must be able to keyboard proficiently.

Registered Health Information Technician (RHIT) certification preferred.
