Provides administrative support and coordination activities for a team of people. Answering telephone, taking messages and answering routine questions. Maintaining master copies of company policy and procedure manuals; keeping them up-to-date. Typing and distributing memos, meeting minutes and presentations for staff. Maintaining vacation schedule and master schedule of whereabouts for staff.
Performs a variety of non-routine complex secretarial & administrative support functions requiring comprehensive experience, skill, & knowledge of organizational policies & practices to ensure the delivery of functions for Faith Community Nursing, Spiritual Care, CPE & Advance Care Planning. Attends meetings, prepares minutes & distributes related information; is a liaison for committee members. Effectively coordinates assigned schedules, attends meetings with &/or for the assigned leaders to ensure efficient use of administrative time. Plans & coordinates work to implement administrative projects, responds to non-routine inquiries. Types, proofs, & finalizes non-routine correspondence, monthly, quarterly, annual reports & other documents requiring use of advanced or specialized software packages. Develops & maintains complex database or spreadsheets. Develops, coordinates, & maintains record keeping & filing systems. Prepares, interprets, & disseminates information & reviews financial data to prepare a variety of administrative reports; assists in preparing presentations. Manipulates & validates monthly/annual statistical data for accuracy. Acts independently to rectify discrepancies, ensuring solutions are considered within a systems context. Creates, updates, & maintains local & regional directories. Assists with research, development, & revision of publications, forms, manuals & reports. Interprets & adapts guidelines such as policies & work processes for application to specific cases or problems, recommends procedures to improve processes as needed. Processes complex materials such as applications, certificates, healthcare directives or financial records; resolves problems & corrects errors by working with internal & external customers. Is a resource, answers questions, provides guidance, follows up with customers in resolving problems.
Post secondary education or equivalent training in a health care or business related field is required; Associates degree preferred. Must have at least 3 years of applicable experience, with previous experience in a healthcare setting preferred. Computer skills sufficient to operate on-line systems and complex software with advanced functionality. Oral and written communication skills sufficient to interpret and apply policies and procedures for clarification and problem resolution.
